Job Summary:

The Telephony Services Coordinator position is responsible for supporting the Service Delivery Manager with the introduction, management, and termination of IT services used by ProPharma Group staff and clients, with a focus on Telephony Services.

 

Essential Functions:

  • Support the development of product life cycle process and procedures.

  • Assist in planning and developing service solutions to match the company’s business requirements.

  • Provide telephony subject matter expertise support to users and maintain relevant documents.

  • Help maintain the integrity and security of the company mobile phone solution.

  • Support and maintain user’s telephone accounts.

  • Aid in the delivery of projects as required.

  • Support the integrity of ticket management systems by monitoring allocated team tickets and escalate where necessary.

  • Attend and/or represent the Service Delivery Team at arranged meeting(s).

  • Create and update documentation, including training material, for publishing in eQMS.

  • Support the procurement processes for the IT Department.

  • Create and produce reports based on service usage for internal and external customers.

  • Provide cover for the Asset Management and User Accounts Coordinators during times of absence.

  • Travel to ProPharma Group office locations as and when required to support delivery of services to clients and staff.

  • Other duties as assigned.

 

Necessary Skills and Abilities:

  • Critical thinking skills, as well as creative problem solving with innovative solutions to problems.  

  • Good written and oral communication skills.

  • Level of accuracy and attention to detail.

  • Ability to follow processes and procedures to prioritize and manage several ongoing tasks at the same time.

  • Good organization and time management, able to work unsupervised with a high level of productivity.

  • IT application knowledge including the Microsoft Office Suite of products.

  • Understand project and change management methodologies.

  • Ability to work and interact with all levels within the organization.

  • Strong focus on customer service.

 

Educational Requirements:

  • Completion of Secondary Education (e.g., Associates Degree, at least 5 GCSE’s including English/Math).

 

Experience Requirements:

  • 1-2 years applicable administrative experience.
